Definitions

Beneficiary: Individuals who receive or help people receive humanitarian assistance, such as refugees, aid workers, humanitarian volunteers, asylum seekers, displaced people, immigrants in need, and limited-English proficient people, and use Tarjimly to access translation and interpretation services.

Translator: Anyone who signs up to become a translator in Tarjimly’s services.

Tarjimly Premium:
An enhanced version of the Tarjimly Essentials mobile app, with additional features such as three-way calling, interpreter pool filtering, no-record sessions, and access to paid translators to improve connection rates. Priced at $25 per user per month, this subscription is available on a monthly basis or for fixed time periods.

Tarjimly Platinum:
A comprehensive suite of professional services tailored for organizations. Offerings include a dedicated interpreter hotline, the ability to onboard your own translators into the app, customizable app settings, impact dashboards, and live interpretation events.

What personal information does Tarjimly process?
We collect information you provide when you sign up and use our Services. This includes your name, contact details, profile information, and payment information if you subscribe to Premium and/or Platinum services. We also collect information about your interactions within our platform, such as session data and user feedback, to improve our Services.

Does Tarjimly receive any information from third parties?
Yes, we work with third-party service providers to support our platform. They provide data such as call and chat metadata, payment processing details, and other information necessary for us to operate and improve our Services.

How does Tarjimly process my information?
We use your information to create your account, facilitate service requests for translation and interpretation, improve our matching algorithm, provide customer support, monitor and ensure service quality, personalize your experience, and prevent mis-use of the Tarjimly app. We may also use aggregated data to understand usage trends and make our platform better for all users.

1. Personal Data and Processing of Personal Data

1.1 Information You Provide to Tarjimly

We collect personal information that you voluntarily provide to us when you register  to our Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us. This information is primarily needed in order to provide you with Services we offer, to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Information Provided by All Users
The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

Information Provided by Beneficiaries:
When you sign up to become a Beneficiary, you provide your name and email address. Optionally, when you update your profile, you can provide gender, occupation, phone number, profile photo, and affiliate organization.

Information Provided by Translators:
When you sign up to become a Translator, you provide your name, email address, and language capabilities. Optionally, when you update your profile, you can provide gender, occupation, phone number, profile photo, certifications, additional skills, and education information.

Payment Data:
When you subscribe to our Premium and/or Platinum Services or pay an invoice, we collect the information necessary to process your payment, including details like your payment method and security code (e.g., credit card number and CVV). Payment data is securely stored by our third-party payment processors, Stripe and QuickBooks, based on the service you use. You can review their privacy policies here:

1.2 Information Tarjimly Collects

1.2.1 Information Automatically Collected
We automatically collect certain information when you visit, use, or navigate the Services. This information is primarily needed to help us understand how you use our Services, help us improve our Services, maintain the security and operation of our Services, safeguarding debugging, and for our internal analytics and reporting purposes.
The information we collect includes:

Log and Usage Data.
Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include:

Mobile Device Data.
We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device’s operating system or platform, the type of mobile device you use, your mobile device’s unique device ID, and information about the features of our application(s) you accessed.

Other Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.

Information Collected From Social Media Logins
We may provide you with the option to register with us using your existing social media account details, like your Facebook, Apple or other social media account. If you register with your Facebook account, we receive your Facebook identifier. If you register with your Apple account, we receive your Apple identifier. When you use Tarjimly via the Facebook Login or Apple Login, you provide what is available through your Facebook or Apple privacy settings and Messenger's User Profile API (if using Facebook). When using our Facebook Login, we by default access your Facebook basic account information, including your name, email, gender, birthday, current city, and profile picture URL, as well as other information that you choose to make public. If you interact with us on a social media platform using your social media account (e.g., Facebook or Twitter), we receive personal information about you such as your name, email address, and gender. Any personal information that we collect from your social media account depends on your social media account’s privacy settings.

Information Collected From other Third Parties
We may receive information from third-party services that facilitate communication between Beneficiaries and Translators and other Services. For additional details, please refer to 1.2. Information Automatically Collected section.

1.3 Recording of User Interactions

We record certain interactions within our Services to safeguard users, prevent fraud or misuse, and improve the functionality of our platform by identifying and resolving bugs, in addition to supporting both operational improvements and enhanced security across our platform. Recordings may also allow us to capture anonymized impact stories, which highlight the app's positive effects while maintaining user privacy.

1.3.1 Session Recordings:
We automatically record all conversations within the Tarjimly chat, including written messages, photos, voice notes, and documents exchanged between Beneficiaries and Translators. Session recordings enable Tarjimly to safeguard our Users by addressing complaints, preventing misuse or fraud, supporting quality control for Translators, and allowing Beneficiaries to revisit past sessions, including any translations provided, even after the session has concluded. These recordings are stored securely for up to nine years from the date of the conversation, after which they are permanently deleted. Session recordings are securely stored and only accessed by authorized personnel, and we adhere to strict confidentiality and data protection standards when handling recorded data.

1.3.2 Call Recordings:
We automatically record all calls made via the Tarjimly mobile platform, including 3-way calls, between Beneficiaries and Translators. Call recordings enable Tarjimly to safeguard our Users by addressing complaints, preventing misuse or fraud, and supporting quality control for Translators. These recordings are stored securely for up to nine years from the date of the call and destroy them, after which they are permanently deleted. Call recordings are securely stored and only accessed by authorized personnel, and we adhere to strict confidentiality and data protection standards when handling recorded data.

1.3.3 Screen Recordings:
We may record screens during app usage to better understand how users interact with Tarjimly. These recordings do not capture conversation data, call recordings, or other sensitive information unrelated to app functionality. Screen recordings enable Tarjimly to identify and resolve bugs or improve app functionality. Screen recordings are securely stored and are only accessed by authorized personnel for debugging and app enhancement purposes, and we adhere to strict confidentiality and data protection standards when handling recorded data.

Opting out of Recordings:
Beneficiaries may opt out of session recordings and call recordings on a session-by-session basis by selecting the no-record feature. When this feature is enabled, in-call and in-session data will be permanently deleted once the session concludes, regardless of whether it is ended by the Beneficiary or Translator. 1.4 How Do We Process Your Information?

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

Account Management, Payments and Service Delivery:
We process your information to enable account creation and authentication, manage your account, facilitate secure payments, deliver requested services, and support user communications within our platform.

Service Quality and Assistance:
We process information to monitor service quality, provide user support, respond to inquiries, and address any issues related to your use of our Services. This includes analyzing translator data to understand distribution and availability, allowing us to adjust our matching algorithm, and facilitating debugging and troubleshooting of issues.

To support user inquiries and provide assistance:
We may process your information to respond to inquiries and resolve any potential issues related to the requested services.

Analyzing Usage Trends and Improving Services:
We analyze how users interact with our Services to identify trends, understand translator availability, enhance our matching algorithm, and improve user experience across the platform. We also process data to prevent errors, troubleshoot issues, and ensure optimal functionality.

Communications and Updates:
We use your information to send administrative updates about our products, services, terms, and policies, as well as marketing and promotional messages tailored to your preferences. You can opt out of marketing communications at any time (see section 4. Your Privacy and Rights)

Security and Fraud Prevention:
We process information to monitor for fraudulent activity, abuse, or unauthorized use of our Services, maintaining a secure and safe platform for all users.

User Feedback and Marketing Analysis:
We may request feedback to learn about your experience and analyze your engagement with our marketing campaigns to enhance user satisfaction and improve promotional strategies.

1.5 Third Party Links and Websites

The Services may link to third-party websites, online services, or mobile applications and/or contain advertisements from third parties that are not affiliated with us and which may link to other websites, services, or applications. Accordingly, we do not make any guarantee regarding any such third parties, and we will not be liable for any loss or damage caused by the use of such third-party websites, services, or applications. The inclusion of a link towards a third-party website, service, or application does not imply an endorsement by us. We cannot guarantee the safety and privacy of data you provide to any third parties. Any data collected by third parties is not covered by this privacy policy. We are not responsible for the content or privacy and security practices and policies of any third parties, including other websites, services, or applications that may be linked to or from the Services. You should review the policies of such third parties and contact them directly to respond to your questions.

Tarjimly is not directed to children, and we do not knowingly collect personal information from children under 13. If you believe that a child under the age of 13 has given us personal information, please contact us at team@tarjim.ly.

2. Sharing Personal Information

2.1 Sharing between Beneficiaries and Translators

Once a Translator accepts a service request from a Beneficiary, Beneficiaries and Translators can see each other’s first name, and photo, if the Beneficiary or Translator chooses to provide a photo. During an assignment, Beneficiaries and Translators are able to call and text each other via the Tarjimly mobile platform using internet calling, which avoids the sharing of Beneficiary and Translator phone numbers.

2.2 Service Providers and Other Third-Parties

We may share your data with third-party vendors, service providers, contractors, or agents (“third parties”) who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organization apart from us. They also commit to protect the data they hold on our behalf and to retain it for the period we instruct. The categories of third parties we may share personal information with are as follows:

Users have control over some of their information and how it’s used. Beneficiaries and Translators sometimes have different data rights according to their respective roles.

4.1 Request to Access Personal Information

You have a right to request that we provide you with a copy of your personal information that we hold and you have the right to be informed of; (a) the source of your personal information; (b) the purposes, legal basis and methods of processing; (c) the data controller’s identity; and (d) the entities or categories of entities to whom your personal information may be transferred.

If you would at any time like to review or change the information in your account you can:

4.3 Email Subscriptions

You can unsubscribe from our community update emails via the link provided in the emails. Even if you opt out from receiving promotional messages from us, you will continue to receive administrative messages from us. These communications include important updates, such as changes to our Terms of Service or Privacy Policy, which are necessary to keep you informed about your use of Tarjimly’s services.

4.4 Push Notifications

We may send you push notifications through our mobile application. You may at any time opt-out from receiving these types of communications by changing the settings on your mobile device or through the app settings.

4.5 Session and Call Recording Opt-Out for Beneficiaries

Beneficiaries can choose to disable conversation and call recordings on a session-by-session basis by enabling the no-record feature when requesting a session. Note that this option is only available to Beneficiaries; Translators cannot opt out of recordings per Tarjimly’s Terms of Service. Beneficiaries can access the no-record feature by subscribing to Tarjimly Premium. Please note that enabling this feature will prevent access to translations after the session ends and disable verification for reported incidents.

Beneficiaries who cannot afford the Premium subscription ($25/month) to enable the no-record feature may email team@tarjim.ly to request no-record settings for all sessions and deletion of historical conversation data. Beneficiaries requesting this feature may be asked to provide additional information, such as proof of occupation or ID, to verify legitimate usage of Tarjimly.

Beneficiaries who would like to request the deletion of a specific session recording (including conversation and call recordings) can email team@tarjim.ly with the date and time of their session, and the request to delete the conversation and call data.

4.6 Delete Account

You can delete your account and erase your personal information from Tarjimly's servers through the settings of the application, or by emailing team@tarjim.ly with your account email. However, Tarjimly reserves the right to retain usage data related to your sessions, in accordance with applicable laws, in order to prevent fraud, quality assurance, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Usage data refers to non-personal or aggregated data that Tarjimly may retain even after account deletion. This might include:

In no case will we share any individual session data unless required by regulators or other government bodies, to support processing of settlement of your transactions, or in accordance with applicable laws.

5. Security and Retention

5.1 Security

We adopt appropriate data collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information, username, password, transaction information, and data stored on our Site. Sensitive and private data exchanged between the Site and its Users is transmitted over an SSL-secured communication channel, encrypted, and protected with digital signatures.

For information that may be governed by HIPAA (Health Insurance Portability and Accountability Act), we comply with HIPAA requirements and have established Business Associate Agreements (BAAs) with any third parties who may access such information in the course of providing services. We are committed to protecting your information and follow HIPAA standards to ensure the confidentiality and security of sensitive data.

While we take strong precautions to safeguard user data, no security measures can be 100% secure, and we cannot guarantee absolute security of Users’ data. Tarjimly takes reasonable steps to protect your Personal Information from loss, misuse, unauthorized access, alteration, disclosure, or destruction. However, as with all Internet-based systems, transmission of data carries some inherent risks, and we cannot fully ensure or warrant its security.

5.2 Retention

Tarjimly retains personal data only as long as necessary to fulfill the purposes outlined in this Privacy Policy and to comply with legal and regulatory obligations. Specifically, we retain session and communication data, including chat, call, and document exchange information, for up to nine years to support service continuity, provide necessary documentation, and improve service quality. After this period, all data is securely and permanently deleted.

Non-identifiable or anonymized usage data may be retained indefinitely for analytical and quality improvement purposes.

6. International Data Transfers

Our servers are located in the United States of America (“U.S.A.”) . If you are accessing our Services from outside of the U.S.A., please be aware that your information may be transferred to, stored, and processed by us in our facilities and by those third parties with whom we may share your personal information (see section 1.5 Sharing Personal Information).

7. Updates to this Privacy Policy

We may make changes to this Privacy Policy from time to time. If we make any changes, we will notify you by revising the "Policy Effective Date" date at the top of this Privacy Policy. If we make any material changes, we will let you know by email to your registered email address, by prominent posting on our Services, or through other appropriate communication channels. We encourage Users to read this Privacy Policy periodically to stay up-to-date about our privacy practices. As long as you use the Services, you are agreeing to this Privacy Policy and any updates we make to it. Any changes to this Privacy Policy will take effect immediately after being posted or otherwise provided by us.
